Provider Access to Member Information

To help your Provider prepare for and deliver your therapy or coaching sessions, they may have access to certain information about you. The information available to your Provider is limited to what is needed to support your sessions and, where applicable, meet legal or regulatory requirements.

What information can my Provider see?

Depending on your account and how you use MindFi, your Provider may be able to see:

  • Your name – to identify you and address you during your sessions.

  • Your email address – to contact you when necessary for matters related to your session.

  • Your organization – to help your Provider understand which workplace wellbeing programme you are accessing.

  • Your available credits – where applicable, your Provider may see your number of credits for session planning purposes.

  • Comments shared during booking – any information or comments you choose to provide when booking a session is visible to your Provider to help them prepare for your session.

  • Cancellation reasons – if you provide a reason when cancelling a session, this is visible to your Provider.

  • Your location – your location may be collected or requested by your Provider where necessary to comply with applicable local laws or professional requirements, or to support appropriate action in an emergency.

  • Your emergency contact – the name and contact details of a person your Provider can reach if you disclose risk of harm to yourself or others, or if your Provider has valid concerns about your safety and you are unreachable. This allows your Provider to act quickly to get you help. Your Provider or MindFi may ask you to provide these details directly when needed.

When can my Provider contact me by email?

While we encourage communication to take place via in-app chat, your Provider may contact you by email if you are unresponsive to messages in the app or if there is an urgent matter related to your session.

For example, they may contact you to:

  • Follow up on a session or a matter discussed during your appointment

  • Clarify information needed for an upcoming session

  • Coordinate or communicate about a session where necessary

  • Address a session-related administrative matter

Providers should only use your contact information appropriately and for purposes related to providing services through MindFi. Your email address should not be used for unrelated personal communication, marketing, or other purposes outside the scope of the Provider-member relationship.

If you believe your Provider has contacted you inappropriately, please report this to us at [email protected] as soon as possible.

Why might my Provider need to know my location and emergency contact?

In some circumstances, your Provider may need to know your location and emergency contact to meet local legal, regulatory, or professional requirements; which often pertain to their duty of care to ensure your safety.

These details may also be important in an emergency, as it can help your Provider determine what local emergency or external support may be appropriate.

Where this information is requested, you should provide accurate information to help your Provider support you appropriately. This information will only be used or shared for these purposes, including where there is a clear risk to your safety and contacting appropriate support services may be required.

What about the information I share during booking or cancelling?

Information you provide when booking or cancelling a session may be visible to your Provider where it is relevant to the session.

For example, if you leave a comment about what you would like to discuss, your Provider may review it before the session so they can better understand what support you are looking for.

Similarly, if you provide a reason for cancelling a session, your Provider will be able to view it.

We recommend only sharing information that you are comfortable providing through the booking or cancellation process.

Your privacy matters

MindFi aims to ensure that Providers have access only to information that is relevant to delivering their services, supporting your safety, and meeting applicable requirements.

Session Details Remain Private: Your emergency contact will never be informed about what you discuss in your therapy or coaching sessions, nor will they receive any updates about your care.
