MindFi uses invoices to document purchases and services provided to your organization. Depending on what you purchase and how it is paid for, you may receive an Advance Invoice, a Tax Invoice, or both.
What is an Advance Invoice?
An Advance Invoice is issued when credits are purchased in advance of their use.
The credits purchased may be used immediately or at a later time. For example, when your organization purchases credits for future therapy, coaching, or Health Talk bookings, an Advance Invoice is issued for the credit purchase.
What is a Tax Invoice?
A Tax Invoice is issued when your organization purchases or uses a service.
Depending on the transaction, a Tax Invoice may be issued for:
Therapy and coaching sessions
Health Talk bookings
Subscription fees
Other applicable services purchased through MindFi
When a service is paid for using credits, the Tax Invoice is issued when those credits are used for the service.
Why might I receive two invoices?
If your organization purchases credits and later uses those credits for a service, you may receive both an Advance Invoice and a Tax Invoice.
For example:
When an employee books a therapy or coaching session, the system first checks whether there are enough credits in your organizationâs wallet. If there are insufficient credits, the system automatically tops up the wallet with the amount required for the booking before confirming the session. An Advance Invoice is generated for the wallet top-up.
Once the session is confirmed and the credits are deducted from the wallet, a Tax Invoice is generated for the service.
The two invoices represent different stages of the transaction and do not mean that your organization has been charged twice.
Where can I view my invoices?
You can view all invoices and check their payment status at any time from the Invoices page in the Hub.
