Adding Employees

Add members and admins to the platform

You can add employees to the Hub as either members or admins before inviting them to join MindFi. Employees can be added individually or in bulk using a CSV file, depending on your preference.

This article walks you through both methods so you can easily keep employee access to wellbeing benefits up to date.

To add employees, on the left panel of the Hub, click on Settings > Employees

Adding a single employee

  1. At the top of the table, click on Add employee

  2. Select Add single employee

  3. Enter the first and last names, email address, role (either member or admin).

    1. If your organization uses custom fields, select the appropriate values.

    2. Depending on the configuration for invitations, you can either invite employees using an email with an approved domain only or with any domain

  4. Once done, click on Add

The new employee will appear as a row in the table.

Adding multiple employees using CSV import

  1. At the top of the table, click on Import CSV

  2. Download the current employee list

    1. The CSV file will contain columns for email, first name, last name, status, role, and any custom fields

  3. In the downloaded employee list, you can:

    • Add new employees by adding new rows.

    • Deactivate employees by indicating "deactivated" in the status column

    • Edit existing employees by updating column values.


    ⚠️ Important:
    - Do not add, remove, or rename columns. Always follow the format of existing entries.
    - Ensure that the file is not password protected in order for our system to validate the entries.


    If you need to add custom fields, see Managing Custom Fields. Then redownload the employee list after adding them.

  4. Save and upload the edited employee list

    • Accepted file formats: CSV, XLSX, XLS.

    • Maximum file size: 25 MB.


    If the upload is unsuccessful, you will be shown a pop up listing the errors in the edited list. Simply address the errors, save and reupload.

  5. After successful upload, you will receive a confirmation email.

The processing will take 5–7 business days, and you’ll be notified via email once it’s completed.

Adding an employee will not immediately trigger the invitation email. See Inviting Employees for more details.
