Understanding Seat Allocation and Billing

This article is intended for:

🏢 Admins (HRs)

MindFi uses a coverage-based pricing model, meaning your organization's subscription fees are based on the number of employees covered under your plan, rather than the number of employees who actively sign up or use the platform.

This article explains how seat allocation works, what counts as a seat used, and how additional seats are charged.

What counts as a seat used?

Every employee added to your organization's MindFi account with an Active status counts as one seat used.

You can check an employee's status on the Employees page in the MindFi Hub.

Please note that an employee counts towards your seat allocation once they are added to the platform, even if they have not:

  • Created a MindFi account.

  • Completed the registration process.

  • Signed up for or attended a therapy or coaching session.

  • Used any other MindFi services.

Why are employees who haven't signed up still counted?

MindFi follows a coverage-based model, similar to insurance and other employee benefit programs. Subscription fees are based on the number of employees covered, rather than how many employees actively use the benefits. This ensures they can access wellbeing support whenever they need it, without having to wait for their access to be set up.

How are additional seats charged?

Your subscription includes a specified number of seats based on your organization's plan and quotation.

Additional seat charges apply only to organizations on the Business Plan. If the number of active employees exceeds your plan's allocated seats, the additional seats are charged on a prorated monthly basis.

If an employee is changed to Inactive status, their seat is immediately released. If your organization was previously using more seats than its allocated limit, the additional seat charges will be adjusted accordingly.

How can I monitor and manage my seat allocation?

You can view your organization's seat allocation and usage in the MindFi Hub:

To manage your organization's seat usage and optimize costs, we recommend:

  • Add employees as they become eligible: Rather than uploading your entire workforce upfront, you can add employees progressively as they become eligible for MindFi benefits.

  • Keep your employee list up to date: Deactivate employees who have left your organization or are no longer eligible for coverage. This immediately releases their seats.

  • Review your seat allocation regularly: Check your Billing Settings page to monitor your seat usage and any additional charges.
