[Nov 2025] New Session Management Features

Reschedule, cancel, mark sessions as member no-shows, and more!

Thank you for your continued feedback on managing your bookings as a provider - we’ve been listening closely! Today, we’re excited to roll out a series of updates to the Provider Portal that make handling your sessions faster, clearer, and more convenient than ever.

Rescheduling sessions

You can now reschedule any session that’s more than 24 hours away, right from the portal. Just be sure to confirm the new timing with the member beforehand to avoid any confusion.

If the session starts in less than 24 hours, you’ll still need to cancel and create a new booking instead.

Cancelling sessions

Whether you or the member needs to cancel, you can now do it directly in the portal. Before cancelling, make sure you have touched base with the member first before proceeding.

For cancellations made less than 24 hours before the scheduled time, this is considered a late cancellation. In this instance, the member's session credit will not be refunded, and you will be compensated 50% of the session fee. You have the option to process a full refund to the member if you choose, which would mean forfeiting your compensation for the session.

If you are the one who needs to cancel a session, i.e the member is not the one requesting to cancel the session, you will have to refund the member (if the session is starting within 24 hours) and you will not be compensated for the session.

Reporting member no shows

If a member doesn’t attend their session, you should report them as a no show to MindFi - you can now do that via the portal without reaching out to us. Please wait at least 15 minutes and try contacting them via chat or email before marking as “no show”.

For no shows, you’ll receive 50% of the session fee - same as the late cancellation.

Bonus: Manage Email Notifications

You can now control how frequently you receive session reminders and calendar reconnection emails, helping keep your inbox clutter-free.

Updates to the Provider Policies

With these new features, we’ve also refreshed our policies to ensure a smooth experience for both members and Providers.
