Providers and members may be located in different countries and timezones. To help ensure appointments are scheduled accurately, the Provider Portal uses timezone settings to determine how availability and bookings are displayed.
There are 2 timezone-related settings in the platform:
Provider Profile Timezone – Determines the timezone used for your availability.
Bookings Timezone Selector – Determines how booking times are displayed in the Provider Portal.
Understanding the difference between these settings can help prevent scheduling confusion.
Provider Profile Timezone
Your profile includes a timezone setting, which you should have already set when setting up your profile.
The schedule that you set on the portal follows the timezone configured in your profile.
For example, if your profile timezone is set to Santiago and you configure your schedule from 9:00 AM to 5:00 PM, those hours will be treated as 9:00 AM to 5:00 PM Santiago time.
If you update your profile timezone, your availability will follow the newly selected timezone. For example, if you change your timezone to Singapore, then your schedule will be read as 9:00 AM to 5:00 PM Singapore time.
Bookings Timezone Selector
The calendar preview on the Provider Portal Dashboard, and Bookings tab include a timezone selector that allows you to choose how booking times are displayed.
🚨 Important note:
Changing the timezone selector does not modify your availability, profile timezone, or any scheduled appointments.
For example, a provider whose profile timezone is Santiago may choose to view bookings in London time while travelling. The displayed appointment times will change, but the underlying appointments and availability remain unchanged.
Creating Bookings
When creating a booking, you can select the session date, time, and timezone.
The platform automatically converts and displays the appointment in the member’s local timezone, helping ensure the session is scheduled correctly for both you and the member.
For example, you are in Santiago, but your member is in Singapore. You create a booking for 9:00 AM Santiago time (GMT-4). The member will see the booking as 9:00 PM Singapore time (GMT+8).
Rescheduling Bookings
When rescheduling a session, you may update the timezone associated with the appointment if needed.
The platform automatically recalculates the session time using the selected timezone and displays the updated appointment details accordingly, similar to how it works when creating bookings.
